The challenge
The workshop managed over 120 vehicles weekly relying on paper work orders and scattered spreadsheets. This created recurring inventory discrepancies, billing delays of up to four hours upon vehicle pickup, and frustration for car owners who had zero visibility into repair progress.
Additionally, mechanics lost valuable hours walking back and forth to the front counter to request parts or update job statuses.
The technical solution
RG Systems engineered a unified, cloud-native operational system designed around three core modules:
- Shop Floor Control Dashboard (Web): Real-time Kanban board mapping each vehicle’s lifecycle from initial intake and inspection to quality control and handover.
- Smart Inventory & Parts Allocation: Automatic linkage of replacement parts to service tickets with threshold alerts and automated margin calculations.
- Transparent Customer Portal: Instant mobile web link sent via SMS and WhatsApp where car owners view inspection photos, authorize quotes via digital signature, and receive live progress alerts.
The backend was containerized with Docker and deployed on AWS with high-availability PostgreSQL, providing immutable audit trails for every service change.
